How Our Pricing Works

At Penken Technology, we believe your IT support should reflect how your business actually works. Rather than forcing every member of your team into a one-size-fits-all package, our pricing is built around your users, your devices and your compliance requirements, so you only pay for what you genuinely need.

Every client starts with our tenant management fee, which covers the foundation of your IT environment. You then add full or light user fees for your team, and a per device fee for every managed device. Businesses with compliance or regulatory requirements can add our compliance pack on top.

Microsoft 365 Tenant Management Fee

Every client pays a single flat monthly fee that covers the management of your Microsoft 365 tenant and all the behind the scenes work that keeps your environment secure, properly configured and running smoothly.

Tenant management is priced based on the size of your team:

  • Small — up to 10 users
  • Medium — 11 to 25 users
  • Large — 26 to 50 users

This includes services that are easy to overlook but essential to get right:

Full User — for full time staff who need complete IT support

Every full user gets our complete suite of user-level security tools alongside unlimited remote and on-site support during business hours. Whether they are in the office, working remotely or on the move, they are fully covered.

Included for every full user:

Light User — for part time staff or mailbox-only users

Light users get the same user-level security tools as full users, with remote support included. Ideal for part time staff, occasional users or anyone who does not need on-site support.

Per Device — for every managed device in your business

Added on top of your user fees, the per device element covers every laptop, desktop or workstation we manage on your behalf. Devices are monitored around the clock, kept secure and maintained proactively so problems are caught before they cause disruption.

Compliance Pack

The compliance pack is available as an add-on for full users. It is designed for businesses that need to evidence security to auditors, regulators or insurers, whether that is meeting SRA or FCA requirements, satisfying a cyber insurance application, or demonstrating security standards to larger clients and supply chain partners.

Onboarding

Every new client goes through a structured onboarding process to ensure everything is set up correctly from day one. During onboarding we deploy all our core systems including remote monitoring, endpoint protection, backups, patch management and access to our support platform.

A one-time onboarding fee applies, equivalent to your first month of support. This covers the time and work involved in getting your environment properly set up, documented and handed over — ensuring there are no gaps in your protection and no surprises further down the line.

Once onboarding is complete, we carry out a full review of your environment and provide a prioritised list of recommendations to strengthen your security, resilience and efficiency over time.

Our pricing is built around your team and your devices rather than a single one-size-fits-all package. Every client pays a flat monthly tenant management fee, plus a per user fee for each member of staff and a per device fee for each managed device. Businesses with compliance or regulatory requirements can add our compliance pack on top. This means you only pay for what you genuinely need and your costs scale naturally as your business grows or changes.

Full users are typically full time staff who need complete IT support, including unlimited remote and on-site support during business hours. Light users are part time staff or mailbox-only users who need email security and identity protection but are unlikely to need on-site support. Light users receive remote support only. Both full and light users get the same suite of user-level security tools.

A managed device is any laptop, desktop or workstation that we actively monitor, maintain and support on your behalf. Shared workstations, reception desk computers and shop floor terminals all count as managed devices. Personal devices used for work but not managed by us do not attract a per device fee, though we would recommend discussing how these are secured as part of your onboarding.

Your monthly costs adjust automatically as your team changes. When a new starter joins we add them to your agreement and when someone leaves we remove them promptly and securely. User provisioning and deprovisioning is included in your tenant management fee so there are no additional charges for making these changes.

The compliance pack is designed for businesses that need to evidence security to auditors, regulators or insurers. If you are a legal practice subject to SRA requirements, a financial business regulated by the FCA, or a manufacturer with supply chain security obligations or cyber insurance requirements, the compliance pack is strongly recommended. If you are unsure whether you need it, we are happy to discuss your specific requirements on a call.

Microsoft 365 backup takes daily copies of your mailboxes and M365 data so that if something is accidentally deleted or lost it can be quickly restored. Email archiving is different — it retains a long-term, tamper-proof copy of all email communications for compliance and audit purposes. Backup is about recovery. Archiving is about compliance. Both are important for regulated businesses, which is why archiving is included in the compliance pack.

DMARC, along with DKIM and SPF, are email authentication standards that tell the internet your emails are legitimate. Without them, your emails are more likely to land in spam folders and your domain is easier for criminals to impersonate when sending phishing emails to your clients or suppliers. We set these up correctly during onboarding and monitor them on your behalf as part of your tenant management fee.

Onboarding typically takes around one month and runs alongside your existing IT provider so there are no gaps in your support. During this time we deploy all our core systems including remote monitoring, endpoint protection, backups, patch management and access to our support platform. This reflects the significant time and work involved in getting your environment properly set up, documented and secured from day one. Once onboarding is complete we carry out a full review of your environment and provide a prioritised list of recommendations.

Yes. We manage the transition process on your behalf and recommend maintaining a one-month overlap with your existing provider. This gives us time to gather the information we need, complete setup and agree a clean cutover date without any gaps in your support. Most of our clients find the switch is far smoother than they expected.

Your devices are monitored around the clock by our specialist security operations centre. If a threat is detected they are ready to respond immediately. In the event of a confirmed security incident, one hour of incident response is included for all clients as standard, with additional support available. For clients on the compliance pack, priority response times are guaranteed. We also ensure your backups are current so that in a worst case scenario your data can be recovered quickly.

Our standard contract length is 12 months, with an option to move to a 36-month term. We will always talk through the options with you during the initial conversation so you can choose the arrangement that best suits your business.

Yes. If you’re happy with our service and refer another business to us, we’ll credit 10% of their monthly managed services spend to your invoice for up to 12 months. Refer multiple businesses and credits can accumulate up to 100% of your own monthly fee.

Credits apply to recurring managed services only, not hardware, licensing, or projects.
